This Privacy Policy explains how Rayoworx LLC (“Rayoworx”, “we”, “our”, or “us”) collects, uses, and shares information when you interact with Rayoworx Flow, our scheduling and operations platform for service businesses. By accessing our marketing site, dashboard, APIs, or related services (collectively, the “Service”), you consent to the practices described below.

2. Information We Collect

• Account Information: name, business name, contact details, authentication credentials, and subscription selections provided during signup or onboarding.
• Usage Data: log files, device and browser metadata, pages viewed, referral URLs, and features accessed in order to secure and improve the Service.
• Client Data: information entered about your customers (e.g., appointment details or contact methods) that you choose to store in Rayoworx Flow.
• Payment Data: limited billing details and Stripe customer IDs needed to facilitate subscriptions or tenant payment flows. Full card data is handled directly by Stripe.

3. How We Use Information

• Provide, maintain, and improve the Service, including personalization, onboarding, and feature development.
• Send transactional communications (booking confirmations, account notices, billing alerts) and respond to support requests.
• Monitor security, prevent fraud, enforce acceptable use, and comply with legal obligations.
• Analyze aggregate usage trends to plan capacity and prioritize roadmap investments.

4. Sharing and Disclosure

• Vendors and Infrastructure Partners: trusted processors that host or deliver parts of the Service, including Amazon Web Services (infrastructure), Cloudflare (edge security), SendGrid (email delivery), Twilio (SMS notifications), and Stripe (payments). Each vendor is bound by data protection agreements and only receives the minimum data needed to provide its service.
• Professional Advisors or Authorities: when required to comply with law, enforce agreements, or protect the rights and safety of Rayoworx, our users, or the public.
• Business Transfers: if Rayoworx is involved in a merger, financing, or acquisition, data may be transferred as part of that transaction subject to continued privacy commitments.

We do not sell customer or client data, and we do not use tenant client contact info for independent marketing.

5. Data Retention

We retain account information for as long as your workspace remains active and for a reasonable period afterward to comply with legal, tax, or audit requirements. Tenant-generated client data follows your retention settings; deleting data inside the product removes it from active systems within standard backup windows.

6. Security

Rayoworx implements administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, or misuse. All traffic is encrypted in transit (TLS 1.2+) and sensitive stores such as PostgreSQL, Redis, and object storage run on encrypted disks managed by our cloud providers. Production access is limited to trained personnel through SSO + MFA, with every action logged. We run automated dependency scanning, apply security patches promptly, and review architecture changes for privacy impact. No system is perfect, so we encourage tenants to use strong credentials, enable two-factor authentication, and keep staff lists current.

7. Your Choices

• Account Settings: update contact details, notification preferences, or tenant branding from the dashboard.
• Client Requests: use the platform’s deletion or export options to respond to client privacy requests. Rayoworx will assist with any data subject rights requests directed to us that relate to the Service.
• Marketing Communications: opt out of product updates or newsletters using the unsubscribe link in each email.

8. International Use

Rayoworx operates from the United States. If you access the Service from another region, you consent to transferring and processing your information in the United States and anywhere our vendors operate.

9. Children

Rayoworx Flow is not directed to children under 16, and we do not knowingly collect personal information from children. If we learn that a child’s data has been provided, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy as our product evolves or legal requirements change. The “effective date” will be revised, and significant changes will be communicated through email or in-product notices. Continued use of the Service after the updated policy takes effect constitutes acceptance.
